How to set up the email options in SugarCRM

To configure the settings for the outgoing mail server so that system notifications and alerts can be sent, as well as email messages from users who want to use the built-in SugarCRM email client, log in to the SugarCRM application as an administrator and open the admin page. There click on the Email Settings button. On the page that opens type the name of your company and the email address in the fields for From Name and From Address respectively. If you want to use an email account in Gmail or Yahoo, for example, click on the corresponding button and type the full email address and the password in the appropriate fields.

If you want to use the HostKnox server hosting your account (or any server that you want to use), click on the button Other. Then type the URL address of the server in the field for SMTP Mail Server, mark the checkbox for SMTP authentication, type the full email address in the field for Username and the password in the field for Password. To use encryption select SSL or TLS from the drop-down menu and set the port number to 465. If you don't want to use encryption set the port number to 587 and select None from the drop-down menu. When you're ready click on the Save button. In case you want to use the HostKnox server hosting your account, you should create an email account to be used with SugarCRM as the system outgoing mail account from the Email section of the Pixie control panel before configuring the above mentioned settings.

Users can specify the email account for incoming mail that they want to use from the settings of their SugarCRM account. To access the settings, after you log in to your account in the SugarCRM application click your name in the upper right corner. Then on the page that opens click on the User Profile tab and in the Email Settings section type the desired email address in the field for Email Address, and click on the Save button.

In case you want to use the built-in SugarCRM email client, you need to configure the email account for the incoming mail there as well. Access the client by clicking on the Emails tab in the navigation bar. Then click on the Settings button and on the window that opens select the Mail Accounts tab. Click on the Add button that's under Mail Accounts to open the window with the settings for the incoming mail account. Type the full email address in the fields for Mail Account Name and User Name, and also the password in the corresponding field. Type the URL address of the server that you want to use in the field for Mail Server Address. If you want to use encryption, mark the checkbox for Use SSL and set the port number to 993 (143 is the port number with no encryption). To add the email account click on the Done button.
