How to add orders manually from the back office in PrestaShop 1.5-1.6

If for some reason you need to place an order instead of a customer, you can do that from the admin panel of your PrestaShop.

Select a Customer to be Associated with the Order and Access the Settings for Adding an Order

To do this, go to Orders menu>Orders sub-menu in the admin panel and click on the Add new order button (in PrestaShop 1.5 it's labeled Add new). This will open a page with a field on it labeled Search for a customer. Start typing the name or the email of the customer in the field and all associated customers will be listed under the field. Select the customer that you want to use by clicking on the Choose button for that customer. This will automatically redirect you to the form for adding orders.

If the customer is not registered, click on the button Add new customer that's next to the search field. A window with the necessary options will pop out. Use it to add the customer. After you do it the customer will be automatically selected and you'll be redirected to the form for adding orders.

Select and Manage the Products in the Order

On the form for adding orders there are several blocks with settings. One of them is called Cart and it's for adding products in the order. Start typing the name of the product in the field for Search for a product and use the drop-down menu that appears to select the product. In the Quantity field type the number of units from the product that you want to put in the cart. If the product has combinations, there will be an option to select the product combination that you want to add. After that click on the Add to cart button that's under the options. The added product will be listed in a table right under the button. In the table there are options with which you can change the price and quantity of the product in the cart.

If you want to, it's also possible to put in the order the products of one of the abandoned carts (if the customer has abandoned any carts), or you can put in the new order the products of an order that the customer has already placed. You can do this from the block that has two tabs at the top: Carts and Orders (in PrestaShop 1.5 these are two separate blocks). Click on the Carts tab to see all carts abandoned by the particular customer. To put the products from an abandoned cart in the current order click on the Use button for that cart; if you want to see the products in that cart, click on its Details button. To put in the current order the products of an existing order, click on the Orders tab and then on the Utiliser button for that order.

Apply a Discount

You can apply a discount voucher to the order that you're about to create. You can do this from the Vouchers block on the form for adding new orders. Start typing the name of the voucher in the field that's in the block and select it from the drop-down menu that appears. If you want to add a new voucher instead, click on the button Add new voucher and use the settings in the window that pops out to add the voucher.

Select Shipping and Billing Address

On the form for adding new orders there is a block labeled Addresses. From the two drop-down menus in this block you can select a delivery and an invoice address. You can select only from the addresses that are already registered by the customer. If you want to add a new address, click on the button Add a new address that's in the block. A window with the settings for adding a new address will pop out.

Select a Carrier

On the form there's a block labeled Shipping. From the options in that block you can select the carrier to be used for shipping the order. If you don't want to charge for shipping, there's an option for free shipping.

Select Payment Method and Create the Order

The last block on the form for adding new orders is Summary. It displays all the payment information: the total amount for the products in the order, the shipping fee, the taxes, the discount amount (if any). It contains several options. From this block you can choose how to actually place/create the order. If you want to place it from the admin panel, select a payment method from the Payment drop-down menu and optionally change the order status, and then click on the Create the order button at the bottom.

If you want to, you can actually place the order from the frontend. Click on the link Go on payment page to process the payment and you'll be redirected to the Payment step of the checkout process on the frontend of the store. You'll be logged in as the customer, and there you only have to select the payment method and confirm the order.

Another alternative is to let the customer place the order. To do this, in the Summary block click on the button Send an email to the customer with the link to process the payment. The customer will receive an email with a link that will redirect them to the Payment step of the checkout process on the frontend of your site. The order will be the one that you have configured from the admin panel. The customer has to select the payment method and confirm the order. If you use this method, make sure that you don't click on the Create the order button that's at the bottom of the Summary block on form for adding a new order.
